  • Account Details: Your name, email address, password (which is kept secure and hidden), and an optional profile photo.
  • Business Data: The records you enter, such as your businesses, customers, suppliers, items, sales, purchases, and payments.
  • Photos & Voice Notes: Any images (like receipts or bills) or voice notes that you choose to attach to your records.
  • Selected Contacts: If you use the "Import Contact" feature, we only access the specific contacts you choose to add to the app. We do NOT upload your entire phonebook.
  • Device Information: Basic details about your phone (like the model and operating system) to keep your account secure and manage your logged-in devices.
  • Location & Security Signals: Your IP address and general location (like your city or country) to prevent hackers from accessing your account.
  • Subscription Details: If you buy a premium plan, we process your purchase tokens from Google Play to unlock your features.

2. App Permissions We Ask For

Our app may ask for certain permissions on your phone. You can always turn these off in your phone settings, but some features might stop working:

  • Contacts: To let you easily pick a customer or supplier from your phonebook. We only store the contacts you specifically import or create in the app.
  • Camera & Photos: To let you take or select photos of bills, receipts, profile pictures, and to scan barcodes or text (using on-device ML Kit).
  • Microphone: To let you record voice notes for your business entries.
  • Notifications & Alarms: To send you payment reminders exactly when you want them and to keep your data synced in the background.
  • Bluetooth: To discover and connect to thermal printers for printing receipts.
  • Fingerprint/Biometric: To let you lock and unlock the app securely using your device's built-in App Lock.
  • Internet & Background Sync: To back up your data to our secure servers, process real-time sync across your devices (using Firebase Cloud Messaging), and verify your subscription.

3. How Do We Use Your Information?

We only use your data to make the app work for you. Specifically, we use it to:

  • Create and manage your account.
  • Safely store your business records and show you reports.
  • Back up and sync your data so you can use the app on multiple phones.
  • Protect your account from unauthorized logins.
  • Check your subscription status to give you premium features.
  • Send you the reminders you schedule.
  • Help you if you contact our support team.

4. Do We Share Your Information?

We do NOT sell your personal information to anyone. We only share data when it is absolutely necessary to run the app:

  • Service Providers: We use secure third-party services to send OTP emails and keep the app running.
  • Google Services: We connect with Google Play to process your subscriptions, Google Sign-In for login, and Firebase Cloud Messaging (FCM) for real-time device syncing.
  • On-Device Machine Learning: We use Google ML Kit for barcode scanning and text recognition. This processing happens entirely on your device, and no images are uploaded to Google for this purpose.
  • Security Services: We use an IP lookup service to check where a login is coming from to stop hackers.
  • Legal Reasons: We may share information if the law requires us to do so.

5. Third-Party Services We Use

Our app works with a few trusted external services:

  • Google Play Billing: To manage your premium subscriptions safely.
  • Google Sign-In & Firebase: To let you log in quickly and to sync your data across devices seamlessly.
  • Google ML Kit: For on-device barcode and text scanning (no data is sent to the cloud for this).
  • Email Services (SMTP): To send you password reset codes (OTPs).
  • IP Geolocation (ip-api.com): To check your general location for login security.

6. Where Is Your Data Stored?

Your data is stored safely on your phone so the app runs fast. If you are connected to the internet, your data is also backed up to our secure cloud servers. This means if you lose your phone, your data is still safe and can be synced to your other devices using real-time push notifications.

7. Sharing via WhatsApp or Other Apps

If you choose to share a receipt or report with a customer using WhatsApp or another app, that information is handled by that app. Please remember that we do not control WhatsApp's privacy rules.

8. How Long Do We Keep Your Data?

We keep your data as long as you have an active account with us. If you ask us to delete your account, we will permanently remove your data within 30 days.

9. How Do We Keep Your Data Safe?

We use strong security measures and encryption to protect your data from hackers. However, please remember that no system on the internet is 100% perfect. Always keep your password safe and do not share it.

10. Your Choices and Rights

You have full control over your experience:

  • You can update your profile and business details anytime in the app.
  • You can turn app permissions (like Camera or Contacts) on or off in your phone settings.
  • You can delete your account completely.

11. Account Deletion

If you want to leave Business Khata, you can easily delete your account and all your data. Just go to our Account Deletion page. Once you submit the request, all your data will be permanently deleted within 30 days.

12. Children's Privacy

This app is made for business owners and is not for children under 13 years old. We do not knowingly collect data from children.

13. Changes to This Policy

We may update this Privacy Policy from time to time. When we do, we will change the "Effective Date" at the top of the page. If you keep using the app, it means you accept the new policy.
